Dear Parents of Year 7-11,

We apologise for the email issues the school experienced this week that caused the problems with the dispatch of the Academic Plenary Meeting email.

This was unforeseen and not apparent until some time after the original email was sent. Please find the relevant information below.


Years 7-11  Academic Plenary Meetings

Years 7-11 Academic Plenaries Friday 6 May 1.00pm-7.00pm and Monday 9 May 3.30pm-7.00pm

Academic Plenaries are opportunities for students, supported by teachers, to share their learning progress with their parents. Teachers will be available for 5-minute meetings in the Gonzaga Barry Centre (GBC) and surrounding classrooms on Friday 6 May and in the School Gymnasium on Monday 9 May.  Should you have a matter to discuss that will take longer than the allocated time, we request that you make an appointment with the teacher concerned for a more appropriate time.

Bookings for the Plenary meetings are made online (instructions below). The PTO website is now open for all  families until midnight on Thursday 5 May. Bookings or changes will not be able to be made after midnight Thursday 5 May via the system.

To make your bookings:

  • Go to the PTO Login page .
  • The PTO booking site will be launched. Tick OBTAIN PIN/PASSWORD and enter the email address that you have provided to the school as your contact email. Your individual PIN will be emailed to you.
  • A seating plan is provided on the site and is also attached to this email to assist you to plan your bookings for the  Friday afternoon. The Monday meetings will be conducted in the School Gymnasium.
  • Full instructions for making your bookings will appear on your screen.
  • Print off your booking confirmation and check the times booked. To do so, click on the printer/calendar icon at the top of the booking screen and select to have the confirmation emailed to you, printed or entered into your calendar.

Only one booking per teacher can be made for each student’s parents. When making your bookings, please leave adequate time to move between appointments – 10 minutes is suggested. Teachers will endeavour to meet the appointment time, but there are always inevitable delays. We ask for your patience during the evening. Some teachers may have requested an interview with you in which case the symbol  will be displayed alongside the class name. Mrs Carmel Donnan, Careers Advisor, will be available for “drop-in” meetings throughout both afternoons and will be located in the Deirdre Rofe Centre.

Parking will be available on the Oval (weather permitting) or any carpark on the campus other than the Boarding school carpark. Parents are asked to avoid parking in Osborn Road as it is narrow and carries a significant volume of traffic. Currawong  Avenue should also be avoided as it is very narrow, and whilst it is legal to park on both sides, doing so restricts access significantly. Mt Pleasant Avenue has more parking spaces and also has a wide verge on the western side which can accommodate multiple vehicles. Please allow travelling time for Friday night traffic on the 6th.

Prior to attending your meetings, please register with Mrs Wendy Chew Lee at the Reception desk in the top floor of the Gonzaga Barry Centre (GBC) and collect a seating plan and your name tag to assist staff to identify you.
